HIPAA & Security Commitments

As a revenue cycle management partner, OakClaim operates as a business associate under HIPAA when we handle protected health information (PHI) on behalf of client practices. This page describes the commitments we make in every engagement.

Business Associate Agreements

We execute a Business Associate Agreement (BAA) with every client before any PHI is shared. Where subcontractors touch PHI on our behalf, we hold them to the same standard through subcontractor BAAs, as HIPAA requires.

How we safeguard PHI

  • Minimum necessary access.We work inside the client's own EHR and practice management systems wherever possible, using individually-assigned credentials, and access only what the engagement requires.
  • Encryption. PHI is encrypted in transit (TLS) and at rest in any system we control.
  • Access controls and audit logging. Role-based access, unique user accounts, and logging of access to systems containing PHI.
  • Workforce training. Every team member completes HIPAA privacy and security training at hire and annually thereafter.
  • Incident response. We maintain breach identification and notification procedures consistent with the HIPAA Breach Notification Rule, including timely notice to affected clients.

What this website does — and doesn't — collect

This marketing website is not a channel for PHI. Our forms request only business contact information (your name, practice, email, phone). Please do not submit patient information through this website. Secure channels for PHI are established during onboarding, after a BAA is in place. A note on "HIPAA certified"

There is no official government HIPAA certification for vendors — any company claiming to be "HIPAA certified" is describing a third-party review, not a legal status. What matters is a signed BAA and real safeguards. We are happy to walk through ours, answer security questionnaires, and support your own compliance documentation.
