This policy explains what information OakClaim ("OakClaim", "we", "us") collects on this website, how we use it, and the choices you have. It applies to this website only; services we perform for billing clients are governed by separate agreements, including Business Associate Agreements where required.
Information we collect
- Information you submit. When you request a billing audit or contact us, we collect what you provide: your name, practice name, email, phone number, and any details you include about your practice or billing situation. Do not include patient information in these forms — we do not request it and it is not needed for an audit request.
- Usage and analytics data. We use Google Analytics and Vercel Analytics to understand how visitors use the site: pages viewed, approximate location (city level), device and browser type, and how you arrived here (for example, a search engine or a link). Google Analytics uses cookies for this purpose.
- Traffic source information.We store the page you landed on, the site that referred you, and any campaign parameters in your browser's local storage, so that if you later contact us we know what brought you here.
How we use it
- To respond to your audit request or inquiry and provide our services.
- To manage our relationship with you in our customer relationship management (CRM) system, including follow-up emails and calls you have requested.
- To understand which content is useful and improve the site.
We do not sell your personal information, and we do not share it with third parties for their own marketing.
Who we share it with
We use a small number of service providers to operate this site: website hosting (Vercel), our CRM and communications platform, and analytics providers (Google, Vercel). Each receives only what it needs to perform its function. We may also disclose information if required by law.
Data retention
We keep inquiry and lead records for as long as needed to serve you and for reasonable business record-keeping. You can ask us to delete your information at any time (see below).
Your choices and rights
- You may request a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it by emailing hello@oakclaim.com.
- You can block analytics cookies in your browser or use Google's opt-out tools; the site works fully without them.
- Depending on where you live (for example, California or the EU/UK), you may have additional statutory rights. We honor verified requests consistent with applicable law.
Security
This site is served entirely over HTTPS. Information you submit is transmitted encrypted and stored in access-controlled systems. See our HIPAA & security commitments for how we handle protected health information in client engagements.
Children
This site is intended for healthcare professionals and businesses. It is not directed to children under 13, and we do not knowingly collect their information.
Changes
We will update this policy as our practices change and revise the date at the top. Material changes will be noted on this page.
